Pharmacy Group Asembia uses RFID technology to track high-value drugs

Asembia, a healthcare services, contracting and technology company, is using Truecount's RFID system to manage the inventory and effective time of its high-value drugs. Asembia said that since the UHF RFID system was used this year, the company's sales department and pharmacy have achieved better inventory life management, which reduces product losses.

Truecount has developed a simple, inexpensive inventory or asset lifespan management and tracking method. Truecount also worked with Asembia to seamlessly integrate the system with Asembia's inventory management tools. The label provider Charming Trim&Packaging offers UHF inlay labels on pharmaceutical packaging.

Founded more than a decade ago, Asembia offers wholesale and group purchases of biomedical and specialty medicines not available in traditional pharmacies. Recently, the company began to work with its manufacturer partners, prescribers, pharmacy member networks and other parties to provide a full range of services for the specialty pharmacy industry, including targeted distribution for specific drugs and medical devices.

With the continuous introduction of new drugs, the professional pharmacy market continues to expand, and the company continues to grow and develop. The tracking of these drug distributions has also become more complex. In addition, many drugs have a very short shelf life. As a result, Snehal Patel, senior director of pharmacy network and market access at Asembia, said: “As a distributor, one of the main challenges we face is the management of product shelf life.”

Patel said: "The drug usually has a validity period of 14-15 months after it arrives at our delivery location." In addition, patients are generally reluctant to receive drugs with a shelf life of less than one year. This means that Asembia and its pharmacy network members can only sell these items for up to 2-3 months.

Before using the Truecount RFID system, Asembia and its pharmacy network members typically use manual record expiration to manage. Patel explained: "This process is very cumbersome and unscientific, and the probability of error is quite large."

In seeking a solution, Asembia wanted to find a real-time inventory system to provide the quantity of specific batches and expired batch stocks for each pharmacy member. Asembia has researched various RFID-based inventory management solutions with a focus on software integration. Since Asembia and its member pharmacies use their own workflow management software (called Asembia-1), the company needs to find a solution that can be integrated with the platform.

System operation mode

The system tracks each product from the distribution center to the patient. First, a passive UHF RFID tag is attached to each drug. Without selecting the right label, Charming Trim&Packaging tested various products and finally selected the 15X40 u7 inlay. Jeremy Van Houten, Global Account Manager at Charming Trim&Packaging, said: "The inlay works well for this type of application."

Van Houten explained that the label adheres well to Asembia's packaging and does not leave adhesive on the packaging. This is a request from Asembia, so we specifically developed this tag.

Asembia attaches tags to its distribution facility, and the tag ID in the software is tied to the item information. Truecount CEO Zander Livingston explained that after the pharmacy placed the order, Asembia employees began picking the drug and then using the Zebra Technologies RFD8500 UHF RFID reader connected to the Apple iPod to check the inventory before shipment. Truecount Simple RFID software captures and manages new product distribution data for each pharmacy. This data is forwarded in real time to a custom dashboard of the Asembia-1 system. In this way, Asembia can achieve inventory visibility for each pharmacy location. This way, the pharmacy can access the data on the Simple RFID software. In addition, they can use the system to track inventory information in the pharmacy.

Upon receipt of the product order, the pharmacy staff uses a handheld RFID reader to scan the sales item and update the item's sales status. Every night, the staff also scans the remaining stock for inventory and compares it with the data in Asembia-1.

If the product is recalled, the employee simply enters the item information and turns the RFID reader into Geiger counting mode, which then quickly finds the item. In addition, Asembia can track product batches and expiration dates.

At the same time, for Asembia's pharmacy network members, the process of scanning inventory eliminates the labor time of pharmacy staff and regularly reports to Asembia on a regular basis.

When the RFID system was deployed this morning, Asembia took the approach of remotely installing software. According to Livingston, Truecount then provided a day of remote training.

Livingston said that with the help of Charming Trim & Packaging, we designed a very simple way to mark products. Asembia plans to continue to expand the use of RFID tags next year. Patel pointed out: "We are currently working to improve the process through our Asembia-1 platform to achieve automatic replenishment."

According to Patel, the biggest benefit of this solution is to ensure that patients receive safe and effective products. By integrating Truecount's inventory management system into Asembia's existing systems, “we can combine supply chain logistics with product delivery to enhance the patient care experience.
